This page explains what happens to the details you give Complete After Builders through afterbuilders.com, by phone or by message: what is collected, why, who sees it, how long it is kept and how to ask for a copy or have it deleted.
Who looks after your information
Complete After Builders runs afterbuilders.com and decides how the details you send are used, which makes it the controller of that information under UK data protection law (the UK GDPR and the Data Protection Act 2018). In this policy "we" and "us" mean Complete After Builders.
For anything about your data, email office@afterbuilders.com or ring 07418 351088 between 8am and 7pm, any day of the week.
What the booking form collects
When you price a clean and send the request, the form passes us:
- the job: your postcode, the type of property, the work that was done, the service, the crew and hours, any extras such as carpets, windows or floors, and the price shown
- your name and phone number
- your email address, if you give one; it is optional and is used to send you a copy of the request and to write to you about the job
- the date you need the clean, or that you are flexible
- anything you type in the note, such as access, parking or a deadline
- the page of the site you sent the request from
Please keep the note to what the job needs. There is no reason to put health details, bank details or card numbers in it.
What the website records by itself
To work out the price and the right local page for your postcode, the website sends the postcode alone to a public postcode lookup service. Nothing else about you goes with it, and the location result is cached for up to 30 days.
To stop the form being flooded with automated requests, the site keeps a short-lived counter linked to a scrambled version of your network (IP) address. It is used for that limit only and expires within 15 minutes. If the form has to send you back to correct something, what you typed is held for 15 minutes so you do not have to type it again.
The site's own code sets no cookies. To count visits and see which pages lead to a request, the site loads Google Analytics after your first scroll, tap or key press, in a mode that stores no cookies on your device: Google receives the page address, the kind of browser and an approximate location worked out from your network address, and we see only totals. The postcode you type is kept in your browser's session storage so the form can carry it to the next page you open, and your browser clears it when you close the tab. The security and caching service in front of the site may set a strictly necessary cookie to tell visitors from automated traffic.
A copy of the reply to your request (your name, the reference and the price) is kept for an hour so that a double click does not send it twice. Google may process that analytics data outside the UK, including in the United States, under the safeguards it publishes for its customers.
Phone calls, texts and messages
When you ring, text or email the office, we keep the messages and notes of what was agreed with your booking: the price, the date, the crew and the access arrangements. Calls may be recorded so that there is an accurate record of what was said. Photos and videos you send of the property are used to set the crew and hours, and are kept with the booking.
Purposes and the legal basis for each
We use what you send to price the job, ring or text you about it, book the crew and invoice the work. The legal basis is that you asked us to take these steps before a contract and, once you book, that we need them to carry the contract out (Article 6(1)(b) UK GDPR).
Invoices and payment records are kept because tax and accounting law requires it (Article 6(1)(c)). Protecting the form from spam and abuse, and keeping a record of what was agreed in case of a dispute, are our legitimate interests (Article 6(1)(f)); you can object to those uses at any time.
Who sees your details
Your details are seen by:
- the office, to price and arrange the job
- the self-employed cleaners booked for your job, who are given the address, the access notes and a contact number for the day
- the providers that host the website, deliver its email and run the office booking system, who handle the data only on our instructions
- your bank or card payment provider, when you pay the deposit
- public bodies such as HMRC, where the law requires us to share records
We do not sell your details. Card numbers are never collected through this website.
How long your details are kept
We keep your details for as long as needed to arrange and invoice the job and to meet legal record-keeping duties. The short-lived records described above, the spam counter and the copy held for a correction, expire within 15 minutes.
Your rights over your data
Under UK data protection law you can ask us:
- for a copy of everything we hold about you
- to correct anything that is wrong or out of date
- to delete your data, unless the law or an unfinished booking means we have to keep it
- to restrict or stop a use you object to
- for the details you gave us in a format you can pass to another company
Email office@afterbuilders.com with your request and the phone number or postcode you used, so we can find the booking. There is normally no fee, and we answer within one month, as the law requires. If you think we have mishandled your data, the Information Commissioner's Office takes complaints through ico.org.uk and on 0303 123 1113.
Keeping your information secure
The site is served over an encrypted connection, so what you type in the form is protected on its way to us. Job requests are stored as private records that only signed-in office users can open, and the cleaners are given only the details they need for the day.
